AI for Small Business Without the Hype

What actually works, what is a waste of money, and how to tell the difference.

Every business owner is being bombarded with AI pitches right now. ChatGPT this. AI agents that. Every vendor is telling you that AI will revolutionize your business. Most of it is noise.

This guide is different. I have actually built AI systems for small businesses in healthcare, tax, real estate, and professional services. I run my own AI infrastructure. I am not selling you a tool.

What AI Actually Can Do

Right now, AI is genuinely useful for three things:

  1. Document intelligence. Reading contracts, filings, and extracting what matters.
  2. Research and monitoring. Market intel, competitor tracking.
  3. Workflow automation. The repetitive process your team hates doing.

What Does NOT Work

  • Chatbots. Unless you have thousands of prospects, it is a toy.
  • "AI for everything." If they cannot name one specific problem, walk away.
  • AI without your data. Generic tools are not trained on your business.

How to Tell the Difference

Ask vendors these questions:

  1. What specific problem does this solve?
  2. What happens when it fails?
  3. Who manages it after setup?

What This Costs

  • Starter: $3,000-5,000 — One specific use case
  • Growth: $7,500-15,000 — Two-three use cases
  • Ongoing: $1,500-3,000/month — Management
